BABES IN THE WOMB TERMS AND CONDITIONS
Below are our terms and conditions. Please read these carefully as we want you to be fully aware of our scanning procedures. Should you have any questions before your appointment, or wish to discuss anything from and terms and conditions then please don’t hesitate to contact us
Scanning Conditions
- The scan is classified as self-referred
- Your ultrasound scan will only be performed by a fully qualified, trained and experienced ultrasound sonographer.
- Under no circumstances should your 2D or 4D Baby scan be a substitute for your hospital ultrasound scans.
- Our Sonographers/receptionists will not be subject to any intimidation nor will any physical or verbal abuse be tolerated. Any issues must be raised with the management team directly info@babesinthewomb.com. If the Sonographer/receptionist feels in any way threatened or intimidated then an alarm will be raised and the police called immediately.
- We operate to the current internationally agreed safety standards issued by the British Medical Ultrasound Society (BMUS). In particular, the guidelines for thermal and mechanical indices and exposure times for obstetric ultrasound applications must be complied with and the ALARA (As Low As Reasonably Achievable) principle is applied throughout. This means we will not continue to scan if we have obtained satisfactory images and/or measurements of the baby so appointment times will vary from person to person.
- All images and DVD’s produced by Babes in the Womb remain the property of Babes in the Womb. Images provided on CD, DVD or other media to clients are licensed to them for home viewing only and are not to be used for commercial or public viewing in any way, unless explicitly authorized by Babes in the Womb.
- We do not always keep scan images etc on record. Therefore please keep these safeguarded by means of duplicate copies for your personal use.
- Babes in the Womb accept no responsibility for any loss or damage to any personal effects whatsoever caused while you the customers are on our premises.
- Babes in the Womb will not be held responsible for any breach of this contract caused by circumstances beyond its reasonable control.
- We ask you to check that your DVD, CD rom and Digital images when you receive them. Issues with any of these should be reported to Babes in the Womb within 7 calendar days of receiving them. In the unlikely event that one or more of these do not work it should be returned to us within 10 calendar days of receiving them for us to examine it.
- Any merchandise due to be either posted or emailed that have not been received, should be reported to us no later than 28 days from your scan date. We appreciate that using Royal Mail and relying on the internet is outside our control. Therefore your scan images and data will be stored for a maximum of 2 months from your scan date. If we do not hear back regarding missing images or likewise outside this timeline, then we will have deleted all clients scan images.
- If you are not happy with any part of our service you must tell us at the time of your scan.
- By attending a scan with Babes in the Womb, you consent to images that are produced being used to promote Babes in the Womb business at no cost to Babes in the Womb. Any images used for business promotion will be anonymous.
- You consent for staff at Babes in the Womb to access your NHS medical records for the purposes of the scan, and also to access for clinical audit and quality assurances purposes.
- Any problems found at the time of your scan will be explained as fully as possible with the recommendation that your ante-natal provider be informed as soon as possible. Please note WE DO NOT LOOK FOR ABNORMALITIES and cannot be held responsible for abnormalities found at a later date.
Your Appointment
- We require a deposit of £30 on any scan appointment.
- Your booking is not confirmed until we have received your deposit.
- If we have not received your deposit one week (7 days) before your appointment we may offer your appointment to someone else.
- The outstanding amount due for your appointment is due on the day of your appointment, before you have your scan
- On the rare occasion, we may have to reschedule your appointment. This is usually for reasons outside our control, however we will give you as much notice as possible and try to accommodate a suitable alternative date for you. If a suitable alternative appointment has not been reached, any deposits will be fully refunded to you.
- On occasion your we may run behind schedule at the clinic and your appointment may be taken late. We will try to avoid this, but if you can't attend the later appointment we will offer you another date/time for free.
- We ask for you to please arrive 10 minutes before your appointment. This is so you are relaxed and able to fill in the short form required before your scan. If you are late we will do our best to fit your scan into the remaining time available from your appointment, but unfortunately cannot extend your appointment time due to our schedule and allowed operating hours. Therefore as to not to lose precious time from your scan, please do not be late.
- If you are so late that you miss your appointment or most of it, we will not be able to scan you and you will unfortunately lose your deposit.
- If you do miss your appointment (as above) and you would like to re-book another appointment, a further deposit will be required to confirm the new booking.
- If you are late or do not turn up for your 2nd free appointment (see scans below) you will not be entitled to any further free appointments.
2D SCANNING
- For 2D Dating scans; we offer a transabdominal scan only. if you are not yet 7 weeks when you come in for your scan, we will give you as much information as we are able to at the time of the scan but do not offer a free 2nd appointment. If you are expecting twins, depending on the stage you come in for your scan we may not be able to see as much as later on in your pregnancy. However we will give you as much information as we are able to at the time of the scan but do not offer a free 2nd appointment. Please feel free to contact our clinic for additional information on the above.
- For 2D Gender scans; If you are not yet 16 weeks we will not be able to tell you the sex of your baby and we will not offer a 2nd appointment free of charge. If you are 16 weeks but your baby is not in a suitable position for us to determine the sex accurately we will offer you 1 further gender scan appointment free of charge. The date of this repeat scan will be subject to availability, gestation and at the advice of the Sonographer. Please note, although gender scans can be very accurate, they are never 100% accurate.
- For Gender Reveal party's, if you wish to have your baby's gender written down (instead of telling you) This is absolutely fine. Just let the clinic know in advance and inform your Sonographer before she scans you, and we will let you know when to turn away. If this isn't advised in advance, we will assume you wish to know your baby's gender during your scan.
- If we still can’t determine baby’s gender after the free scan, we cannot offer any more free scans, but will offer you a discounted scan if you wish to have another scan.
- Although every effort is made to achieve the best possible pictures from your 2D scan, we will not be able to repeat your appointment based on images alone.
- We ask you to check that your DVD and CD functions when you receive them. Issues with either the CD or DVD should be reported to Babes in the Womb within 7 calendar days of receiving them. In the unlikely event that one or both DVD/CD does not work it should be returned to us within 10 calendar days of receiving them for us to examine it.
4D SCANNING
- While every attempt is made by our qualified and experienced Sonographers, the image quality will vary from client to client and therefore cannot be guaranteed.
- There are many factors that will determine what parts of baby we can see (full face, side profile or any specific body part of baby) and the quality within these images we can achieve. Therefore the quality of images and what we can see during your scan will vary and are outside our control.
- Some of these factors are, baby’s position, baby’s limbs covering face, fluid levels around baby, gestation, position of umbilical cord, placenta, Mother’s BMI and Mother’s body maternal habitus.
- During a 4D scan, we typically tend to achieve a mixture of good, average and poor images throughout the scan. This is due to all the factors as mentioned above.
- 4D scan DVD’s in most circumstances will have very similar images of baby. This is simply due to the images we can achieve and what baby is allowing us to see.
- DVD’s length will depend on baby, therefore we cannot guaranteed how long they will last.
- CD ROM images/movie clips quality/quantity will again be dependent on baby and the above factors, therefore we cannot guarantee how many there will be.
- If we are unable to achieve any 4D images during your scan due to baby’s position, we can only offer you a further complimentary 4D scan on our Gold and Platinum 4D scan free of charge. The date of this repeat scan will be subject to availability, gestation and at the advice of the Sonographer.
- If we are unable to achieve any 4D images after this free scan, due to the significant expense each scan incurs, we cannot offer any further free scans. However we will offer you a discounted rate due to the circumstances if you wish to try again.
- The Bronze and Silver 4D scan cannot be offered a free repeat scan.
- If we are unable to offer you the merchandise that came with your scan package i.e DVD, CD ROM, Pictures etc, these will be deducted from your scan price and refunded to you.
- We ask you to check that your DVD and CD functions when you receive them. Issues with either the CD or DVD should be reported to Babes in the Womb within 7 calendar days of receiving them. In the unlikely event that one or both DVD/CD does not work it should be returned to us within 10 calendar days of receiving them for us to examine it.
TWINS
- If you are having Twins, due to the extra scanning time we must allow for, a supplement charge of £25 will be required to cover this cost.
- For gender and 4D scans, we have a different recommended gestation to come in. Please feel free to get in touch to discuss.
Postage
- Any merchandise due to be posted will be sent 1st class via Royal Mail. We use the details left on the form we ask you to fill in, therefore please write this eligibly and accurately.
- Although 1st class items sent via Royal Mail should arrive reasonably quickly, we ask that if you do not receive your items out with this point to please contact us ASAP. We will then put a claim into the Royal Mail and send you out further items at no extra cost to you.
Cancellation Policy
- If you are unable to attend your appointment, we request that you provide at least 72 hours’ notice of cancellation in order so that we can either fill your appointment space otherwise the deposit taken at the time of booking will be non-refundable.
- Any cancellations of appointments within the correct cancellation period will be subject to £3 administration fee.
- We ask for you to please arrive 10 minutes before your appointment. This is so you are relaxed and able to fill in the short form before your scan. If you are late we will do our best to fit your scan into the remaining time available from your appointment, but unfortunately cannot extend your appointment time due to our schedule and allowed operating hours.
